Carribean Way - Bahamas villaThere has always been a high-risk stigma associated with renting your own luxury villa, both online and through travel agents. In the luxury space, the entrance of reputable operators has made renting villas very smooth. Here are a few tips to make sure your planning is truly flawless:

  • Do Your Homework — Make sure that you select a reputable agency. Check out customer reviews and verify that the agents have personally been to the locations – you want to know first-hand what to expect. Also, don’t get pressured by a pushy agent.
  • Be Specific — Before contacting a villa rentals specialist, have in mind your desired destination, approximate time slots and the size of your party. You’re more likely to get what you want if you can be specific.
  • Cancellations — Learn about cancellation and deposit rules as well as insurance on the house. As we advise for destination club consumers, keeping an eye on deposit fine-print is crucial due-diligence.
  • It’s Your Vacation — Insist on knowing the details of the trip. While having a concierge service plan for you is a convenient service, don’t feel pressured to let them take over or shy away from giving them your input- it’s your vacation.
  • Plan Ahead — Remember to book the season and villa you want ahead of time, as many of the highest quality villas book up to a year or two in advance.

  • Know What to Expect — Make sure you are in the location you want; a “Caribbean Villa Holiday” conjures up images of paradise but it may not turn out to be the accommodation of your dreams. Be specific with your questions about the climate and the locale and get a map of the area to get an understanding of how far you are from the nearest town, beach, your neighbors, etc. You want to know just what to expect.

  • Know What You Want — Keep in mind that the most expensive villa is not necessarily the right villa for you. Room layout is important when it comes to determining the extent to which a villa suits your needs. If you have kids, for example, you may want their rooms to be closer to yours, or if you are planning on entertaining you may want the kitchen to be adjacent to the dining room.
  • Maps and Pictures — Look at plenty of photos so you can to inspect the property, especially the interior. It may also be helpful to look at photos of the surrounding areas (especially to get an idea of local beaches, shops, restaurants, etc.). For some locations, Google Earth can show satellite images of the grounds, while MSN maps can give you a bird’s eye view of the neighborhood.

  • Address Language Barriers — Depending on your destination, ensure that a translator is available to liaison between any problems or questions you may have during your stay.

  • Be Objective — Take into account that the word “luxury” is subjective; everyone has different standards and needs. While user reviews are helpful, don’t rely on them exclusively. It’s important that you evaluate the different aspects of the villas to make sure they fit to your individual needs.

Annie Dickerson, a villa rental expert, relates to her clients’ experience with a few words of advice. “There is nothing more important when renting a villa than having someone to help you in the process without taking over your experience,” says Dickerson. “If a concierge service tries to take over your vacation, it’s not fun. But it’s also not fun to be stuck with a vacation experience below your expectations.”

Condé Nast Travel also has a helpful worksheet on “How To Identify the Right Villa Rental Agent and Villa for You,” “What You Need to Know About a Villa Before You Arrive,” and “Villa Security.” They provide a useful list of questions to ask yourself as well as the agent to fully prepare you for an investment in such a luxurious vacation.
